Troubleshooting: Studies take too long to archive to IDC

Issue

In a cluster configured to archive to IMPAX Data Center (IDC), studies take days before they arrive at IDC. Enterprise users connecting to IDC to view studies therefore do not get timely access to them.

Details

By default, IMPAX archives to IDC only after studies are reported. While this can be changed, this requires having good quality control procedures in place, to minimize the number of study changes to be managed.

Solution

Introduce Quality Control steps between the RIS, modality, and IMPAX to make sure most studies received have high quality. Also put procedures in place to quickly identify and correct items that are not caught by the Quality Control steps.

Once Quality Control procedures are running smoothly, configure autopilot rules to be more aggressive, so that studies are sent for IDC archiving sooner.

This is an unusual configuration, potentially requiring significant amounts of manual reconciliation work. Do not undertake this change lightly.

To set more aggressive autopilot rules

  1. On the Administration Tools Setup tab, click Autopilot Management. Autopilot Management button

  2. Switch to the Staging Rules tab.

  3. From the Action list, select Copy to library.

  4. From the Threshold list, select Green.

  5. From the Study Status list, select Do Not Care.

  6. From the HIS Verified Flag list, select True.

  7. As the Hours since Created value, type 0.

  8. As the Hours since Accessed value, type 0.

  9. From the Threshold list, select Amber, then repeat steps 5–8.

  10. From the Threshold list, select Red, then repeat steps 5–8.
